Major Duties and Responsibilities

  • Administrative/Clerical Responsibilities
    • Enters routine statistical and related data gathered by FAS staff into computer database for their use in preparing scheduled or alert reports. After initial instructions, regularly draws such information from government and other printed or internet sources/media. If receipt of information is delayed, follows up with requisite government or private sector office. Organizes information in required format.
    • Updates and maintains agricultural databases, including trade statistics, sales, etc. Reviews and updates database formats and data entry procedures in preparation for report generation by FAS staff. Uses excel spreadsheets to process data; prepares computerized reports, tables, graphs and other supporting data for inclusion in reports, PowerPoint presentations.
    • Responds to written, electronic and telephonic requests for general trade information. This includes providing general information on U.S. suppliers and local importers, regulations, market research and other trade visitor information.
    • Abstracts or compiles raw data from newspapers, trade publications, and government documents relating to local agriculture.
    • Maintains office reference library, including directories, commodity brochures, manuals of tariffs and import regulations, and trade journals. When required, assists visiting U.S. and local business representatives in use of such references, and responds to inquiries by researching documents for specific information. · Provides logistics support to seminars, marketing and other FAS events.
    • Makes travel and hotel accommodations, schedules appointments, and arranges transportation for visiting U.S. officials.
    • Maintains inventory of expendable supplies – up to $1,000.
    • Copies materials designated for reproduction.
    • Answers telephone and take messages as needed.
    • Prepares mailing of agricultural materials, brochures, commodity samples, and trade information to the local agribusiness community; local government/trade contacts; and U.S. Government/trade contacts. This function requires sorting and stuffing materials in envelopes, printing and affixing pre-addressed labels or boxing commodity samples.
    • Assists with Time and Attendance (T&A) reports for FAS office
  •  Messenger/Driving Responsibilities
    • Picks up/delivers various correspondence/materials (telegraphic cables, cooperator correspondence, trade publications, letters) to and from specific locations.
    • Safely operates a motor vehicle to transport the FAS staff and visitors in support of U.S. Government’s activities, within the city and the surrounding areas.
    • Accompanies staff members, visitors on field trips and to trade events as required. Acts as an interpreter as needed.
    • Maintains vehicle in a clean and serviceable condition, to include cleaning the interior and exterior of the vehicle. Performs basic vehicle inspection in accordance with established schedules and policies.
    • Prepares trip reports, vehicle use and fuel logs. Estimates fuel consumption for trips.
    • Position is the Point of Contact (POC) with dealership to arrange servicing for the vehicles. Value of vehicles: up to $100K.

Qualifications and Evaluations

  • EXPERIENCE
    • Administrative or clerical work experience is required.
  • EDUCATION
    • Completion of high school education is required.
  • EVALUATIONS
    • Good Working Knowledge in writing/reading/speaking English is required.
    • Good Working Knowledge in writing/reading/speaking Portuguese is required. This may be tested.
  • JOB KNOWLEDGE
    • Basic knowledge of local business firms, trade organizations, and trade practices. Safety regulations and vehicle manuals. Must be familiar with local traffic rules and regulations of the host country; knowledge of the city and its environment, including driving routes and traffic patterns.
